Working Students Germany - Vacation Day Accrual Question

We have four working students in Germany. They all work 3 days a week and based on their 12 month contract receive four weeks of vacation  - so they get 12 days of vacation. But for about 2 months of their working year, they switch to a 5-day week (during the non-lecture periods). We would like to recognize these extra days and give them the correct amount of vacation, which will likely be more than just 12 days because their average work days per week would actually be more than 3. Is there any way for Personio to account for this, or do we just have to give them 12 days of vacation?

Welcome to the Community 😃

If your working students are on a part time contract (3 days a week) and need to move to full time (5 days a week) for 2 months, you can update this by adjusting the working schedule. Once you adjust the working schedule from 3 to 5 days, they will receive an updated and increased absence entitlement for these 2 months. Please remember to update the weekly hours within the employee’s Personal info tab also.

Here is a guide on things to consider when making these changes 👉🏻 Changing the Work Schedule (Full Time <> Part Time)

After the 2 months are over, adjust the working schedule back to the 3 days a week and it will prorate the entitlement based on 3/5ths of the week.

    Hi Connor,

    we have the same problem with the working time for working students in their non-lecture periods (usually 2-3 months a year). Your suggestion is perfect; however, I wonder whether there is a workaround that can automatically switch their work schedule rather than switching it manually after their ending of non-lecture period.
