Questions & Answers about Personio

Hello, dear Personio member, we created an account for our colleague, but unfortunately, their email address is not receiving notifications or invitation emails from Personio. After a thorough check, we did not find any issues or incorrect settings; that is why we are reaching out to you for help in finding a solution. We look forward to your response. Best regards.

Hi all, Does anyone know if it is possible to copy an on/offboarding task? So often I think I need to recreate something but with minor tweaks, and it would be so much easier if i could copy a task and make the amends rather than starting from scratch. Thanks!Emily

Hello Personio Support,We have a question regarding the monthly payroll notification, specifically the message “Review payroll information for [month/year]”. Is it possible to customize or adapt this notification, for example by adding an additional note? More specifically:Can the content of this notification be customized? Is it possible to add or maintain a recurring note or checklist linked to this payroll reminder?Thank you for letting us know what is possible, or whether there are alternative options within Personio to achieve this.Kind regards,

Hi all, I’m having some struggles with the overtime reports. Is there a way to have a monthly report showing the overtime/deficit hours for the month AND the overtime balance at the end of the month?I can only do either or but not both together - or I’m just not seeing it. :-)Thanks in advance!

Hello,I am using the endpoint https://api.personio.de/v1/company/employees/attributes to fetch a list of all employee attributes. I noticed that some attributes, particularly those with keys like "dynamic_13844971" (e.g., for Employee ID), change over time. Below is an example of such an attribute:{  "key": "dynamic_13844971",  "label": "Employee ID",  "type": "standard",  "universal_id": null,  "options": []}My question is:Is there a specific time limit after which this dynamic key changes? Are there specific conditions that trigger the change of this key? Is there a timeline in which this dynamic key might become static, like other attributes (e.g., "first_name")? Will the dynamic attribute keys change if I switch accounts?Any insights would be appreciated!Thank you!

Good afternoon everybody,I have a question in regards to performance. It was brought to our attention that Personio now also offers a feature where employees and managers can work from the exact same form?Example: An employee needs to set goals and fills them in, and the manager can handle both the preparation and documentation of these goals within that single form, instead of the employee and manager each having their own form.Is this true and if so, is there a manual available where we can learn this step by step? Thanks a lot in advance!Best regards,Peter

Hi,  I’m trying to create a report that includes: (besides the main employee data)-Gross Annual Salary-Goal Bonus Target-Car Allowance The problem is that when I select the Goal Bonus Target, some employees have two rows or more in blank with no information. This happens even if the employee has never had any bonus. If I understood correctly, Goal Bonus Target is a timeframe data and the Gross Annual Salary is point in time data, does that mean that I can’t create a report with row duplications? Thanks!

Hello, I want to pull a report to see what day people are most commonly (and least commonly) working from home. I’ve gone as far as pulling a custom report with Home Working Days (Taken) and Home Working Days (Period) but can’t seem to sort those by days of the week. Is there another way?I’d appreciate any help!Emily

Hi all,  Up until recently we really liked the possibility to type /personio in any Slack conversation and a window to request an absence directly from there was amazing. Now I checked it and it doesn’t work. It says /personio is not a valid command. In Slack, all messages that start with the "/" character are interpreted as commands.Has anything changed from your side recently on this? Best regards, Vesna

Is there any option to update the created Personio templates via API? I would like to automate the update process which has to be done currently manual via UI.

Hey,  we have been working with Personio for quite some time now and are using the Personio Employee API to retrieve data and currently calculate a “manual” history using dbt snapshots. The reason we do it: there is currently no way (to our knowlege) to retrieve the correct history with the active / effective from dates via API.Is there any plan or idea if or when the historical employee attributes will become available in an API?Best, Friederike  PS: Using Reports for this purpose is not a scalable solution, because a human then always has to think about creating and sharing the report with the data team. This is not sustainable.

Hi, Has anybody recently set up the market place integration between Personio and Culture Amp?We are having trouble with the supervisor attribute not pulling through as it should. Happy to hear any recent experience on getting this to work.BR,Kaisa

Hi All, I am creating a new Vacation Leave time-off type with an annual entitlement of 18 days per year (January to December). When an employee joins on 6 June, the leave entitlement should be 10.5 days based on monthly proration. However, the system is assigning only 9 days.Could you please help me understand why this is happening and whether there is any configuration that needs to be adjusted?

We understand that reporting on a prepared cycle is not possible. Is there any way to preview the templates by department and approvers before launch? we have to make sure that in their worksheets everything looks ok.

How can I set up the participants list if the salary review in our company applies only to indirect employees and I do not have an option to filter them? We have 378 eligible employees, but with filtering (salary change and start date), I ended up with 1,007 employees. This means around 600 employees would need to be removed manually one by one?

Hello,We have conducted our first employee survey in Personio. However, I noticed that there is no option to share the results with all survey participants at once. Currently, this seems to be possible only by creating a custom report and selecting each person manually, which is practically unfeasible in an organization with several thousand people. Is there other way to do it?Are you planning to introduce a feature that would allow survey results to be shared automatically with all participants? One box “Select all” would do it ;)

We want to be able to record individual skills liked to a competency matrix against each employee. At the moment we are only recording a limited number of skills in Attributes, but this is not a good method & we would like a way to record a number of skills at a level from 1-5 for each against a required level. Is this something that will be coming soon?

Hello dear Personio Community .. I would really appreciate your help, for using the Personio API with Power Automate.  The calls described below work fine with Postman, but somehow I am not managing through “a flow”:  How  Generate the Token (this works; but is not elegant) .. is working: and then JSON parsed and handed on to next request   but then .. how do I enter the One-Time Token in Power Automate? this is not working …    ..this is the successful call via Postman … and also successful via Personio’s page (developer.personio.de/reference/get_company-employees) ..

Has anyone found a way to receive more detailed recruiting metrics from Personio? Now in the pipeline health it ’s possible to see the passthrough from Screening > Interviews > Offer. The problem is that in our case we have 4 steps inside the “Interviews ” stage, and would love to see the passthrough and time in stage from each stage to another.Has anyone found a solution?

I am wondering if anyone else is struggling with this?As I understand it, when a supervisor leaves (often leaving the business) all of the reviews they have completed for their people get discarded/archived/stay with them.  Essentially of the three people in this - the people that need the access to past reviews are the employee and the new manager. The one that doesn’t need it is the departing one.we move people around and restructure a fair bit and after many conversations it seems the ‘workaround’ is to manually save the document as a pdf.  This means all past feedback is not included in the very useful AI summary  just wondering if this is an issue for others and if we can work together to get it raised as an urgent change on the roadmap.Fiona (RDT)

We would like to automatically evaluate the audit log from Personio. To achieve this, we need a dedicated API endpoint as well as the ability to assign the corresponding permission independently of the administration permission. Are there any plans to implement this? Alternatively, we would also greatly appreciate support for logging in a SIEM environment.

Does Personio changing time zones automatically, when using it in a different time zone and you need to track your times? This question is related to business travel. Thanks a lot.

Dear Community, I was wondering if others face the same dilemma, and could let me know how you deal with it:Let’s say an employee has an entitlement of 15 paid vacation days in a calendar month, and before they leave the company (at the end of June, in this specific case), they only take 12 days, hence 3 are left at the end of employment, which they request to be paid out, so they can’t make use of it at a next employer, but receive compensation for it. How do you treat these 3 days?Booking them just for the sake of having their balance at 0 feels incorrect and creates a reporting/attendance issue. Manually adjusting their entitlement down to 12 also feels incorrect, because, after all, they either got time off or a payment for 15 days, to which they were all entitled. Leaving these 3 days to just generally expire with our carryover policy is also incorrect, as they do not have anything left after the end of their employment. However, if I leave the days as they are, they will expire a

Hello, the Applications export no longer includes the "Hired" field that is critical for us as we use it in our reporting solution. Can you please check what is going on and add it back to the exportable fields?Thank you!Kind regards,Rosie
