Questions & Answers about Personio

I had to delete some leave for a colleague who was changing the dates and leave type requested. I deleted the original leave but now when I try to enter the new leave I am getting a message telling me that there is a conflict in the dates. The dates I am selecting are showing no leave requested/approved, but the system is still noting a conflict. I left it over the weekend in case the system needed some catch up time after the original leave being deleted, but still having the same issues. Also worth noting that I entered the original leave myself, it was not entered via a request from the employee. Any advice?

Hi,I have a question regarding employee status in Personio. Is it possible to convert an existing employee into a Member of the Board, so that: the person remains visible in Personio (for documentation / organizational purposes), but is not considered an active employee (no payroll, no time off, no operational access)? Ideally, we would like to keep this person in the system as a Board Member without affecting headcount, reporting, or HR processes. If this is possible: what would be the recommended setup (e.g. custom employee status, role, or contract type)? are there any limitations we should be aware of? Thanks in advance for your help!Best regards,Anna

I’ve assigned the Personio generated United Kingdom public holiday calendar and a custom calendar but the May Bank holidays are not appearing when you go into the time off tab.  How do I get this to show up in the time off tab?

Hi I want to add a Workflow where on a custome date attribute a notification is sent. Is this not possible? Thanks and BR

Hi all, I was wondering if any of you might have a solution for a workflow when someone changes their time off request (both for approved and not approve). When a time off type for leave is created - it will trigger a task for HR to put these dates into the planning tool (there is no integration yet ..).When the period has changed - I need another taks to check the period and change in the planning tool. So far I can't find any options for a flow when a the time off period has changed. Would love your input! Best,Kirs

Hi all,I'm struggling to set up a half-year policy. For a specific absence we grant 2 days semiannually, which means that if someone doesn't use these 2 days during first half of the year, these time off days should expire and employees should get another 2 days which they could use until the end of the year. The only setting I see is the yearly one, not the semi-annual one. Does anyone know how I can set this up?Thanks!

Is it still not possible to get notified as the sender of documents? I am a People Manager and I regularly send out contracts and other agreements for signatures. I don’t get notified when they are signed, nor when they are declined. Especially when its declined, this is a problem as I don’t see the note as to why it is declined, only the people who signed it do. Is there a function for this?

Hi Team, Great that over the last period many workflow features where added! One feature that I am missing (or I am not sure how to set this up), is to trigger a workflow by a change in salary. It looks like you can only select a change in salary type as a trigger? Are you planning on adding this or is there already a way to set this up?

I a experiencing an issue with lines are too long Personio automatically shortens them. I can only see the full text when I hover over it with my cursor. Like we set in the onboarding step by step all kinds of lines with “to do” and these lines break when they are too long...Is there any way to expand or display the complete content without hovering? see below

Hello,Is it possible to automatically add a certain tag if candidates come from a specific channel? For example, I'd like to see a colourful 'referral' tag on all referrals' profiles to make them easier to spot.

Dear Personio Community,I’m facing a question regarding vacation accrual after an employee has left the company.I checked the vacation balance for an employee, and until 22 December 2025 everything looks correct, the balance shows 13.5 days, which aligns with our calculations. However, after 22 December 2025, Personio automatically grants new vacation days according to the time-off policy, even though the employee has already left the company and should no longer accrue any entitlement. In this specific case, I manually adjusted the balance for this employee, but I would like to understand: Why does Personio continue assigning new vacation entitlement after the end of employment? Is there a setting related to end date, policy assignment, or entitlement period that we should review to prevent this from happening automatically? What is the best practice to ensure no further accrual happens once an employee leaves? Thank you very much for your support!Best regards,Nhi Cao

Hi Personio team Could you please advise on how to configure visibility settings so that all employees can see birthdays and anniversaries on their homepage? We would like to enable the “People to Celebrate” section (birthdays and work anniversaries) on the homepage for all employees, not just HR users. Currently, only HR sees these celebrations, but we’d love to make this visible to everyone to foster a more connected and celebratory culture. Does this require changes to employee roles or other settings? Thanks in advance for your support! Kind regards,Liesbeth

Dear Personio Community, I am having the problem with attendance visibility for working students. A working student who has recorded/ registered his paid vacation. But it’s not shown correctly in the timesheet. Do you know how we can make the hourly shown correctly for paid vacation day? If not, HR team will need to enter it manually by the end of the month.  Thank you so much for your support! Have a nice day!

Lately, when I log in with my Google account I don’t land on the home page, but on the Documents page of our CEO, which is not appropriate. Why is this and how can we change it?

I use Safari as my primary browser (currently version 26.1 (21622.2.11.11.9)).Employee login doesn’t work. When I type the company name in the input field on https://www.personio.com/login/ and press Login, I get an error message: “This is not a valid hostname. Read this article to find your hostname.” This is the same message that I get when I try to log in without typing the company name. It seems like the input field is broken: when I’m typing, the placeholder doesn’t get replaced. This has been broken for months now, is anyone working on a fix?

Dear our community, My company is using Docusign for e-signatures and we’d like to integrate Docusign with Personio. I’ve searched and seen that we can use Zapier for ingration process. However, I am not sure about its efficiency. Do we have any other ways to ingrate them together. Hope to hear back from you. Thank you very much!

Hi community,For several weeks, I’ve been having an issue with uploading CVs manually. It says that Personio temporarily cannot parse the information from the CV, but this has been happening for at least three weeks.I use regular PDFs and am wondering why it’s not working. I read the standard manual regarding the CV upload topic, and it doesn’t look like this is something on my end.I’ve attached a screenshot showing the error after uploading a CV.Does anyone have the same issue and maybe know how to fix it?Thank you in advance.

I submitted a support ticket to cancel our subscription more than 24 hours ago.  How long does it normally take for the Personio team to respond?  It’s quite urgent.

Is it possible to edit the message in the email that goes out as the Birthday reminder. We want to send a message with an image and a link to a charity so our employees can select the cause that we will make to celebrate their birthday. If that is not possible can I change the details in the message to include their email address in the body of the message and then use something Zapier to send them the Charity email.ThanksAlan

I believe our system has been hacked, but cannot find an emergency contact at Personio. Can anyone advise.

Hi all,How can I avoid people to send open application emails using our personio email address. This creates unasisgned emails in our recruitment tab. How can we “block” this?

Hi, I noticed a change in Personio when it comes to “planned vacation days”. Before, the remaining balance showed the actual amount of working days left. Now it has changed. See image below. This has been confusing to employees as for them it looks like this:Employees are used to having the exact amount vacation days left on their page. In the case above, the employee thinks they have 6 days left when they actually only have 1.Does anyone know if there is a setting I can adjust myself so that all the approved vacations in the future are deducted from the amount? This is the way it was before.Thank you!I will also tag @Moe for additional help 🙏

Hi everyone,I hope you’re doing well.I have a question regarding the time-tracking approval workflow in Personio.I am a Superuser, and I noticed that my own working hours do not go through the approval workflow — they are automatically approved without any validation step. For all other employees, the workflow works correctly and hours must be approved by their supervisor. However, as a Superuser, my entries skip the approval step entirely. My question is:Is there a way to configure Personio so that my own time entries also follow the approval workflow and must be approved by my supervisor, without removing my Superuser role?Thank you very much and have a nice day. :)Karbi
